At Vector Triage, we treat data protection as a core feature of our AI logic, not an afterthought. This policy explains how our "Semantic Triage" systems handle personal and professional data with absolute transparency.

1. The Data We Process

We collect only the "Minimum Viable Data" required to perform high-accuracy candidate ranking.

A. Candidate Information

  • Identity Data: Name, contact details (Email/WhatsApp), and professional social links.

  • Professional Data: Resume content, skills, employment history, and education.

  • Inferred Data: The "Vector Score" generated by our AI based on role-relevancy.

B. Client Information

  • Business contact details and specific hiring "Ideal Candidate Profiles" (ICPs).

C. Technical Data

  • IP addresses and interaction logs with our screening interfaces (for security and anti-fraud purposes).

2. Our "AI First" Processing Logic

Unlike traditional agencies, we use Vector Embeddings to process data.

  • Purpose: To move away from "Keyword Matching" and toward "Semantic Intent."

  • Method: Your data is converted into a mathematical vector to find the best role-fit.

  • Human-in-the-Loop: We do not allow "Full Autonomous Rejection." Every AI-generated shortlist is audited by a Vector Triage Specialist to ensure zero algorithmic bias.

3. Global Compliance Standards

India: DPDP Act 2023

Vector Triage operates as a Data Fiduciary.

  • We obtain explicit, informed consent before processing any resume.

  • We provide a Consent Manager interface where candidates can withdraw their data at any time.

International: GDPR & CCPA

For our clients in the EU and USA:

  • Legal Basis: We process data based on "Legitimate Interest" (recruitment) or "Explicit Consent."

  • Data Subject Rights: We honor the Right to Access, Right to Rectification, and the "Right to be Forgotten."

4. Explainable AI (XAI) Guarantee

We believe in Transparency. If our AI ranks a candidate's profile, that candidate has the right to ask "Why?".

  • We provide automated feedback summaries for every processed resume, highlighting specific skill gaps or experience mismatches identified by the AI.

  • We do not use "Black Box" models. Our logic is documented and auditable.

5. Data Retention & Erasure

We do not store data forever.

  • Standard Retention: 36 months from the last date of professional interaction.

  • Erasure: After 36 months, data is either permanently deleted or fully anonymized to improve our AI models without identifying the individual.

6. Security & Third-Party Sharing

We never sell your data to third-party advertisers. We only share data with:

  • Cloud Providers: Secure, encrypted servers (AWS/Google Cloud).

  • Direct Employers: Only the specific clients you have applied to.

  • Security Partners: Tools used to prevent bot-attacks and resume fraud.

Encryption Standard: All data is encrypted at rest and in transit using AES-256 protocols.
